What personal data we collect and why we collect it

Comments: When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media: If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact Forms: We request appropriate data required to make contact with you and to secure your booking. Additional data is submitted at your own discretion as you need necessary (other methods are available to you). We understand that your data is important to you and take all reasonable steps to keep your data secure.

Cookies: If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Hypnotherapy Client Data

Your data is required in line with the Katharine Graves Enrolment Form and Terms & Conditions. This data is required to make contact with you, to safeguard you and that of other parties  (as per Hypnotherapy clients). Your enrolment form is kept in hard copy as above and notes made in the day book contain no personal data, as above.

Your name, telephone number, email address, date of brith and home address are required. Your data is used to make contact with you; This is to arrange your session bookings, answer your enquiries and contact you regarding changes to your scheduled appointment(s). information I believe you (the client) needs for your schedules appointment(s) or forwarding information that we have discussed. Your data is also required in the event of an immediate concern for your welbeing or that of someone else.

We shall focus on what you want to achieve. Information that you deem relevant to share is recorded to ensure the very best tailored, safe and effective treatment and will be recorded in hard copy.

During your session I take notes to map your progress and success. Language forms part of the Solution Focused model so will be used within your sessions. Session notes are kept in a day book which is held secure when in use and not in use.

Personal data will be kept in hard copy for 8 years as per the requirements of the CNHC. Electronic communication trails will be deleted within around 12 months of last contact. Testimonial Evidence given will be kept indefinitely to prove provenance.


Hypnobirthing Client Data

Your data is required in line with the Katharine Graves Enrolment Form and Terms & Conditions. This data is required to make contact with you, to safeguard you and that of other parties  (as per Hypnotherapy clients). Your enrolment form is kept in hard copy as above and notes made in the day book contain no personal data, as above.

If attending your home or another’s, we will delete the diarised version of your address when it is no longer needed in that form.

Personal data (Full name, telephone, email etc) will be kept in hard copy in a locked cabinet and kept for 8 years as per the requirements of the CNHC. Electronic communication trails will be deleted after around 12 months or when no longer required. Testimonials submitted are kept indefinitely to prove provenance.


Who we share your data with

Your personal data will not be shared without your consent unless there is a fear for your welfare or that of another (see also home Private Hypnobirthing classes below). In all cases wherever possible your consent will be gained. If not possible, steps will be taken to ensure your safety or that of the other party and this may include contacting a relevant third party.

Individual cases may occasionally need to be discussed with colleagues & supervisors but no personal data will be disclosed. All organisational & authorising codes of conduct will be adhered to.

When you request a Hypnobirthing class in a private home the name and address of the contact & location will be shared with my partner for my personal safety.


How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Hypnotherapy & Hypnobirthing Client Information

Your registration, consents & initial consultation data & all records pertaining to your therapuic sessions are kept for 8 years from the point of recording  in accordance with the terms of our CNHC registration requirements.

Additional data such as email trails and electronically held contact information are deleted approximately 6-12 months after contact unless you have requested further contact such as promotional offers or Hypnobirthing parent events.

In the case of Private Hypnobirthing classes in your home, electronic diary copies of your address will be deleted at the end of your course or after all HMRC related expenses have been submitted.


What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Hard copy copies can be requested and may incur a fee.

Hypnotherapy & Hypnobirthing Client Information

You have the right to see what information is being held about you and be given copies of this information if requested. This does not incur a fee. This will be given in an envelope marked “Private and Confidential” with the client’s name clearly displayed.

Right to rectification – inaccurate or incomplete data can be amended at a later date. This means making adjustments by adding information and noting details of the date the information has been added, asking you to sign for accuracy and consent rather than changing original notes.

Your contact information is kept in order to reply to contact made, to make contact with you, to secure bookings, payment, provide information about your enquiry or booking, to help safeguard your welfare & to help safeguard my own.

In the event of a third party referral we may receive data & information about you or your case. It is your responsibility to ensure you are aware of & satisfied with what & how any such data is passed. If your data is passed to us we will handle it according to our policies as outlined here.
